Position Summary

Arnatar is seeking an experienced Executive Administrative Assistant who will work closely with the CEO and other members of the leadership team, as well as Human Resources in supporting employees across the company. This is a full-time, onsite position reporting to the Chief Executive Officer.

Responsibilities

- Maintain calendars for the Arnatar leadership team, including scheduling appointments and prioritizing tasks.
- Arrange catering, audiovisual equipment, and other logistical support for meetings and events, including Board meetings.
- Attend meetings as needed, take notes, and follow up on action items and decisions.
- Make and monitor leadership team travel arrangements, including booking tickets and accommodations.
- Submit expense reports for the leadership team.
- Understand the structure of the organization and develop a strong network across departments.
- Partner with Human Resources in scheduling candidate interviews and employee events, including onboarding.

Confidentiality

- Handle confidential and sensitive information with discretion, including executive discussions, company decisions, and sensitive business information.
Required Qualifications

- Minimum 5 years of experience in an executive administrative role.
- Strong communication and organizational skills, including planning, project development, and task facilitation.
- Strong technical skills with Microsoft Teams, Excel, PowerPoint, meeting presentations, and remote meeting management.
- Ability to interface with diverse stakeholder groups.
- Takes initiative and is able to multitask and shift priorities easily.
- Strong attention to detail with the ability to track priorities, action items, and strategic initiatives.
- Excellent follow-through and commitment to completing work thoroughly and well.
- Cultural sensitivity and experience supporting travel-related logistics.

Preferred Qualifications

- Experience working in a fast-paced startup organization.
- Experience working in biotechnology, research, or the pharmaceutical industry.

Compensation

$75,000 - $105,000 per year
